5 Tips for a Smooth Competition Day

Even the most organized competitions can hit bumps once athletes start showing up. A few simple habits can save you from chaos at check-in, mid-event scrambles, and confused athletes asking "wait, what's my score?" Here are five tips to help your event run smoothly from start to finish.

1. Finalize Divisions and Heats Before Doors Open

Close registration with enough buffer and lock your division rosters. Once your divisions are set, build out your heat sheets and double-check that team rosters and individual entries are accurate.

2. Decide Who's Entering Scores - and How

Before the event starts, agree on a clear scoring process: will the organizer enter scores directly, or will athletes submit their own and have an organizer validate them? That all depends if you're running online or in-person workouts, make sure your approval workflow is set up ahead of time so nothing sits unvalidated.

3. Test Your Leaderboard and Tech the Day Before

Pull up your live leaderboard on the screen or projector you'll actually use at the venue, and confirm it updates the way you expect. If you're using QR codes so athletes and spectators can follow along on their phones, print and test them in advance. Also check your wifi or cell signal at the venue - score entry and leaderboard updates both depend on it.

Tip: Have a backup plan if the venue's wifi is unreliable - a mobile hotspot can save the day.

4. Plan for No-Shows and Last-Minute Changes

Athletes will drop out, swap into different divisions, or show up as a +1 for a team that's short a member. Know how you'll handle these situations: do you add manual entries, shuffle heats, or simply note the no-show and move on? Having a plan means these changes don't derail your schedule.

5. Keep Athletes and Spectators in the Loop

Share your leaderboard link or QR code at check-in so everyone can follow scores throughout the day. If your schedule shifts or a workout gets revealed later than planned, send a quick update so athletes aren't left guessing. A little communication goes a long way toward keeping the energy up and the day running on time.
